Feature · Freshservice BambooHR Integration

Turn BambooHR new hires into Freshservice provisioning tickets automatically.

IT teams running Freshservice for the service desk and HR teams running BambooHR for the system of record need the two tools to speak so new hires land on day one with a laptop, accounts, and access that works. Strkr sits between them as the open API layer: BambooHR fires a webhook on new hire, a Strkr flow builds a Freshservice provisioning ticket with sub-tasks for laptop, email, apps, and access, every assignment lands on the right queue, and offboarding reverses the chain. Native connectors are on the public roadmap, with reference flows available today for teams shipping this quarter.

The onboarding tax

What breaks on day one when IT and HR run separate systems.

An HR coordinator enters a new hire in BambooHR two weeks before the start date. The IT lead finds out the morning of because an email sat unopened in Slack. The laptop ships a week late. The email alias is wrong. The access request for the shared drive is still open on day fourteen. Multiply that across every monthly cohort and the first-day experience is a running joke. Strkr turns the hire record into a provisioning ticket with sub-tasks, SLA timers, and visibility that the HR lead can audit from BambooHR without logging into Freshservice.

Lead time collapse

IT finds out the morning of day one.

HR entered the hire two weeks ago. IT reads it on day one when the person stands in the lobby. The Strkr flow fires on hire record creation in BambooHR, not on start-date arrival, and builds the Freshservice provisioning ticket with sub-tasks whose due dates work backward from the start date. IT sees the ticket the day HR enters the hire.

Alias collision

Second Sarah Smith breaks email.

The naive email convention collides and the hire gets an alias with a number nobody wants on their business card. The flow runs a directory lookup against the existing identity provider, surfaces the collision in the ticket, and lets the IT lead pick a tiebreaker before provisioning fires. The alias is right the first time, not changed on day three.

App access list

Access requests pile up unassigned.

The hire needs twelve app accesses by role. The naive handoff lists them in Slack and the requests scatter. The flow reads the role from BambooHR, maps it through a role-to-app matrix on the Strkr side, and generates a sub-task per app on the right Freshservice queue with the owning app admin pre-assigned. Nothing scatters.

Laptop logistics

Shipping address missing on the ticket.

The BambooHR record carries the hire address. The naive handoff forgets to include it on the IT ticket and the laptop ships to the office instead of the home. The flow maps address, delivery deadline, and the hardware tier based on role to the laptop sub-task. The ticket carries everything the hardware admin needs to ship.

SLA drift

Day-one tasks still open on day ten.

The ticket exists but nothing enforces the day-one deadline. Freshservice SLA policies fire on business hours. The flow sets explicit due dates on every sub-task based on the start date carried from BambooHR. SLA breaches alert the IT lead on Slack. The deadline is real, not aspirational.

Offboarding reversal

Terminated employee still in the shared drive.

The reverse flow catches the BambooHR termination event, generates a Freshservice offboarding ticket with sub-tasks that revoke every app access the onboarding flow granted, archives the mailbox, and schedules the laptop return. The IT lead has a definitive audit of what was revoked when, visible from both BambooHR and Freshservice.

Audit for compliance

Nobody can prove who had access on which day.

An auditor asks who had Finance app access on March 15. The Freshservice side knows what was granted. The BambooHR side knows who was employed. The join is a spreadsheet nightmare. Strkr audit log carries the hire ID, the access grant, the start and end timestamps, and the acting system, so the answer is a filtered log query.

The flow template

What ships out of the box on day one.

Strkr publishes a reference flow for BambooHR-to-Freshservice that covers the common pattern: new hire creates a provisioning ticket with role-driven sub-tasks, department maps to an onboarding template, start date drives sub-task due dates, and the audit log carries the chain. The template is a starting point, not a cage. Flow authors fork it, change the role matrix, and keep the audit log.

Role-to-app matrix

Sales rep gets CRM, SDR tools, and Zoom.

The matrix lives on the Strkr side as an editable table. Role maps to a list of apps, groups, and distribution lists. The flow reads the role from BambooHR, looks up the row, and generates one Freshservice sub-task per entry with the right queue and the right assignee. HR changes the matrix without touching flow logic.

Department template

Engineering onboarding is not sales onboarding.

Engineering hires need a GitHub seat, a developer VPN profile, and SSH key setup. Sales hires need a CRM license, a dialer, and a quota page. The department field drives a template choice at the top of the flow and the sub-tasks differ. Templates stack: role sub-tasks plus department sub-tasks plus universal sub-tasks.

Start date math

Due dates work backward from day one.

Laptop ships four days before start. Email alias is live three days before. App access provisioned the morning of start. The flow computes each sub-task due date from the BambooHR start date and writes it on the Freshservice sub-task. If the start date moves in BambooHR, the flow catches the update and shifts every open sub-task.

Manager approval

High-sensitivity access needs a sign-off.

Finance app access, admin-level CRM access, and production database access route through a Freshservice approval step with the hiring manager as approver. The manager email comes from BambooHR, the approval request lands in Freshservice, and the sub-task waits for approval before firing provisioning. The audit log carries the approver and the timestamp.

IdP sync

Groups land on the identity provider.

The flow calls the identity provider API to add the hire to the right groups so SSO works on day one. The group list derives from the role matrix. If the IdP write fails, the flow records the failure on the parent ticket and the IT lead sees the hire name on an exceptions queue, not buried in a vendor dashboard.

Hardware queue

Laptop sub-task routes to the right stocker.

A remote hire routes to the shipping queue with the home address. An office hire routes to the on-site queue with the office location. The flow reads location from BambooHR and splits the hardware sub-task on a visible rule. The stocker sees the correct deadline and address.

Offboarding reverse flow

Termination triggers access revoke.

A separate flow catches BambooHR termination events, generates an offboarding ticket with sub-tasks that revoke every access the onboarding flow granted, and schedules the mailbox archive and the laptop return. The timeline is tight: critical access revokes within fifteen minutes, non-critical by end of day.

Visibility across HR and IT

Both teams see the same chain of events.

The HR coordinator and the IT lead work in different tools. The audit log pulls their timelines into one view. The flow writes a status comment back to BambooHR when every sub-task closes, so HR knows the hire is ready without logging into Freshservice. The IT lead sees the BambooHR hire record linked to the Freshservice ticket at the top of the ticket page.

Dual link

Freshservice ticket shows BambooHR context.

The ticket header carries the hire name, start date, department, role, and the deep link back to the BambooHR record. The IT lead reviewing the ticket does not need a BambooHR login to see the context. The link is read-only for IT and read-write for HR, following the role boundary each team expects.

HR status rollup

BambooHR hire record carries IT progress.

The flow writes a custom field back to BambooHR with the ticket status and a progress percentage based on sub-task completion. The HR coordinator sees that the hire is 7 of 12 done without opening Freshservice. The field updates in near real time when sub-tasks close.

Executive dashboard

Cohort view for the HR lead.

The Strkr dashboard renders a cohort view of the month's hires with the state of each provisioning ticket, the first-day readiness count, and the breach count. The HR lead reviews it weekly and raises exceptions without pulling two reports from two systems and reconciling by hand.

Breach alerts

IT lead gets a Slack ping on a slip.

A sub-task that misses its due date fires an alert to the IT queue owner and the IT lead. The alert carries the hire name, the sub-task, the delta from due, and the deep link. The lead triages without opening Freshservice. The breach is visible, not swallowed by the SLA policy.

Day-zero readiness

Automated check runs the morning of start.

A Strkr flow runs the morning of each start date, verifies every onboarding sub-task closed, and posts a go-or-no-go to the HR coordinator and the hiring manager. If something is open, the message carries the sub-task and the owner. The HR coordinator is not surprised at 9 a.m.

Monthly audit

Who had what access when, auditable.

The audit log answers access questions by filter. A compliance audit for Q2 pulls every grant, every revoke, every approval, and every acting user in a single export. The exports feed the quarterly access review without a six-way reconciliation.

Compliance and trust

What the security review already covers.

Integration flows run inside the same tenant boundary as the CRM. Credentials are stored in KMS-backed encrypted storage, every webhook delivery is signed, every outbound API call carries a per-tenant rate budget, and audit logs are append-only. The security review for the Freshservice-BambooHR bridge is a subset of the review already completed for the Strkr platform.

HIPAA with BAA

HR data stays inside the tenant.

HR records can carry PHI-adjacent data: health plan selections, dependent names, FMLA notes. Strkr is HIPAA compliant with a BAA available on request. The integration flow runs inside the tenant boundary with no third-party processor in the data path. The compliance posture transfers to the IT provisioning side without a second review.

SOC 2 Type II

Audit in progress through 2026-Q4.

SOC 2 Type II is in progress through 2026-Q4 with the control inventory published to prospective customers under NDA. The integration flows inherit the controls: access reviews, change management, incident response, and logging. The security review for the BambooHR bridge is a short checklist on top of the main audit.

GDPR right-to-erase

Erasure propagates through provisioning history.

A GDPR erasure request on a former employee propagates through the Strkr audit log, redacts the provisioning ticket contents while preserving the access-event metadata needed for audit, and records the erasure event. The IT lead has a defensible answer that satisfies both privacy and security review.

Least privilege

The flow uses scoped tokens, not god keys.

The BambooHR token has read access to employee records and nothing else. The Freshservice token has write access to tickets on the provisioning queue and nothing else. Scoping cuts the blast radius if a token is leaked. Rotation is a one-click action on the integration page.

Common questions

What buyers ask about this feature.

Does Strkr have a native BambooHR-to-Freshservice connector today?

Not today. The current pattern is webhook-plus-flow: BambooHR posts a signed webhook on hire or termination events, a Strkr flow builds the Freshservice ticket tree with role-driven sub-tasks, and the audit log carries the full chain. Both native connectors are on the public roadmap, with the Freshservice connector landing first. Teams running onboarding this quarter use the reference template, which is production ready and covers the role matrix, department templates, and offboarding reversal.

How do we handle role changes mid-tenure without re-running the whole onboarding?

A separate flow catches BambooHR job-change events, diffs the old role matrix row against the new one, generates sub-tasks for the net new access needed, and generates revoke sub-tasks for access no longer appropriate. The move does not re-trigger the full day-one chain. The audit log carries the role transition and the delta so the access review has a clean picture.

What happens if the start date moves after onboarding tickets are open?

The flow catches BambooHR start-date updates and shifts every open onboarding sub-task due date by the same delta. If a sub-task has already been completed, it stays completed. If a sub-task has a hardware ship deadline that already passed under the new date, the flow raises an exception on the parent ticket so the IT lead can intervene. The schedule does not silently drift.

Can we require manager approval before sensitive access provisions?

Yes. The role matrix flags high-sensitivity rows that require approval. The flow generates a Freshservice approval step with the hiring manager email from BambooHR as approver, and the provisioning sub-task waits for approval before firing. The audit log records the approval, the approver, and the timestamp. The approval policy is editable from the Strkr admin page without touching flow logic.

How does the offboarding flow guarantee access revokes within the SLA?

The offboarding flow fires on BambooHR termination events, categorizes sub-tasks by criticality, and runs critical revokes (Finance apps, admin privileges, production access) within fifteen minutes of the event. Non-critical revokes run by end of day. The audit log records each revoke with timestamp, acting system, and the resulting status. The IT lead can prove revoke timing to an auditor without a scramble.

What happens to the audit log if we drop BambooHR or Freshservice in a year?

The Strkr audit log and the identity resolution table hold the full history of hires, provisioning, and offboarding. CSV export of the access-event log is a one-click action. If the team swaps BambooHR for a different HRIS, the Freshservice side keeps its ticket shape and the new HRIS points at the same Strkr flow with its mapping adjusted. The orchestration lives on the Strkr side, portable by design.
