Feature · Law Firm Automation

Law firm automation for the parts of the practice that happen outside the billing system.

Billing systems like Clio and MyCase handle the matter financials well. The work around them (intake forms that route the right questions by practice area, conflict checks that run before the engagement letter goes out, matter-stage tasks that spawn on status change, and client communications that log back to the file) tends to run on email threads and Word templates. Strkr Flows handles the automation layer firm-wide without replacing the billing system.

What law firm automation actually means

The repetitive work that happens between client inquiry and matter close.

Law firm automation is not about the billing or the document assembly (both are their own well-covered categories). It is about the connective tissue: intake forms that ask the right questions by practice area, conflict checks that happen before the engagement letter, matter-stage tasks that spawn on status change, and communications that log back to the matter without a paralegal copying emails into a folder. Firms running on spreadsheet-plus-email get the work done; firms running Strkr Flows do the same work with fewer hours.

Intake routing

A new inquiry asks the right questions by practice area.

A new client fills a web form. Based on the practice area selected, follow-up questions change: a personal-injury intake asks about accident date and insurance carriers; an estate-planning intake asks about family structure and asset types; a corporate intake asks about entity type and jurisdiction. The intake becomes a routed form, not a one-size-fits-all template.

Conflict check

Before the engagement letter, the system checks.

A Flow on intake creation runs the conflict check: name-match search against the client database, adverse-party search against open matters, employer search for the paralegal/attorney who referred the client. Match results surface in the matter record with the overlapping party highlighted; the firm can run the check in minutes rather than a day.

Matter stage tasks

Status changes spawn the next list of to-dos.

A matter moving from Discovery to Mediation Prep spawns the standard task list for that stage: mediation statement draft, exhibits selection, mediation brief exchange, client prep call. The template per matter type lives in the admin surface; the tasks appear on the assigned paralegal's board on status change.

Document pulls

The intake data pre-fills the standard documents.

Engagement letter templates reference matter fields; the Flow generates the engagement letter from the intake data when the matter is approved. The paralegal who used to merge-field a template receives the drafted letter ready for attorney review. Replaces the Word template plus manual merge-field workflow.

Billing-system handoff

The matter writes to Clio or MyCase on open.

When a matter opens in Strkr, a Flow writes the matter record to the billing system (Clio, MyCase, PracticePanther, Smokeball) with the client details, matter number, practice area, and the responsible attorney. The billing system remains the system of record for timekeeping and invoicing; Strkr runs the automation around it.

Deadline tracking

Statute and court deadlines on the matter timeline.

The matter record carries deadline fields: statute of limitations, response-filing deadline, trial date, mediation date. Flows surfaces upcoming deadlines on each attorney's Home tab in week-ahead view and triggers reminder emails at configurable thresholds. Deadlines missed because a date fell off the calendar become rare.

How a matter moves through the firm

The lifecycle from inquiry to close with automation at each stage.

A matter in a firm passes through a predictable set of stages: inquiry, intake, conflict check, engagement, active (with sub-stages per practice area), closing, archive. The automation layer attaches at each stage transition. The sections below walk the lifecycle with the Flow that fires at each boundary.

Inquiry

The call-in or web form writes a Lead.

A prospect calls or submits the web form. The intake creates a Lead record with the practice area, the referral source, and the initial facts. A Flow routes the Lead to the intake coordinator with a confirmation email to the prospect. The clock starts; firms with SLAs on initial response get a visible timer.

Intake

The qualifying call captures the matter facts.

The intake coordinator completes the practice-area-specific intake form on the Lead record. The form carries the questions that determine fit: statute status, jurisdiction, damages, prior representation. Submission flips the Lead to Qualified or Declined; declined Leads trigger a referral template to a partner firm.

Conflict check

Automated run against the firm database.

A Flow runs the conflict check: client-name search, adverse-party search, prior-representation search. Results surface in the matter with any overlaps highlighted. A clean check moves the matter forward; a hit triggers an attorney review before the engagement letter sends.

Engagement

Letter sent, countersigned, matter opens.

The engagement letter generates from the matter data and sends through DocuSign (or PandaDoc) integration. On countersignature, a Flow opens the matter: writes to the billing system, spawns the stage-one task list, assigns the responsible attorney and paralegal, notifies the referring source if applicable.

Active

Stage transitions spawn the right task lists.

The active phase runs through practice-area-specific stages: Discovery, Motion Practice, Mediation Prep, Trial Prep, Settlement for litigation; Draft, Review, Execute, Record for transactional. Each stage transition spawns the task template for that stage; deadlines carry forward.

Closing

The checklist that ensures nothing slips.

The closing stage spawns the closing checklist: final invoice sent, client-closing letter delivered, file archived, trust account reconciled, retention period noted, review for referral opportunity. The checklist completion triggers the matter archive and the referral follow-up Flow.

Firm-specific capability

The custom fields and templates tuned to the practice.

A firm-tuned configuration goes beyond generic CRM customization. Strkr ships custom field packs and matter templates for the common practice areas; the admin surface lets a firm admin modify them without engineering. The sections below name what ships out of the box for the common practice-area shapes.

Personal injury

Accident date, carrier, medical liens, settlement range.

The PI custom-field pack: accident date, accident type, insurance carrier, policy limits, medical providers, lien holders, settlement range. The matter template includes the standard PI stage sequence: Intake, Investigation, Demand, Negotiation, Suit Filed, Discovery, Mediation, Trial, Settlement.

Estate planning

Family structure, asset types, executors, witnesses.

The estate-planning field pack: spouse name, children, grandchildren, blended-family notes, asset types (real property, retirement, business interests), executor and successor executor, witnesses, notary. Template stages: Intake, Draft, Review Call, Execution, Delivery, Review Reminder (set for revisit in 3 years).

Family law

Parties, children, assets, custody schedule, support math.

The family-law field pack: parties, marriage date, separation date, children with birth dates, custody schedule option, asset list, debt list, support worksheet. Template stages: Intake, Discovery, Mediation, Settlement or Trial. The custody schedule and support worksheet attach as native matter sections.

Business law

Entity, jurisdiction, officers, cap table, contracts.

The business-law field pack: entity type (LLC, C-Corp, S-Corp, partnership), state of formation, EIN, officers and members, cap table reference, contract list. Template stages per matter type: Formation, Contract Review, M&A Diligence, Dispute. The cap table reference links out to the firm's preferred cap-table service.

Immigration

Visa category, I-94 history, priority date, dependents.

The immigration field pack: visa category (H-1B, L-1, O-1, EB-2, EB-3, green card), I-94 history, priority date, country of birth, dependents and their status. Template stages per matter type (nonimmigrant, immigrant, citizenship) with deadline tracking against USCIS response windows.

Criminal defense

Charges, court, dates, prior record, bond status.

The criminal-defense field pack: charges with statute cite, court and judge, arrest date, bond amount and status, prior record summary, discovery status. Template stages: Arraignment, Pre-trial, Motions, Plea or Trial, Sentencing. Deadline tracking against statutory response windows for motions.

What Strkr is and is not for a law firm

the frame for firm adoption.

Strkr is useful for firms as an automation and matter-management layer. It is not a billing system, not a document assembly engine, not a trust-accounting platform. The sections below name the boundary explicitly so firm leadership knows what to expect and what to keep.

Strkr is

Intake, matter lifecycle, automation, CRM.

The system of record for the matter outside the billing: intake forms, conflict checks, stage task spawning, deadline tracking, communications logging, referral tracking, client CRM. The automation layer that sits around the billing system without replacing it.

Strkr is not

A billing or trust-accounting system.

Firms running Clio, MyCase, PracticePanther, or Smokeball should keep them for timekeeping, invoicing, trust accounting, and three-way reconciliation. Strkr handles the matter workflow and hands the matter record to the billing system on open. The native integration keeps data in sync without a middleware tier.

Strkr is not

A document assembly engine.

Dedicated document assembly (HotDocs, Documate, Woodpecker) handles the complex template work for firms with heavy drafting practice. Strkr handles the straightforward merge-field documents (engagement letter, retainer agreement, closing letter) through its native template surface and hands off to dedicated tools for the complex ones.

Strkr is

The automation that ties the firm stack together.

Flows binds across Strkr, the billing system, document assembly, DocuSign, email, and calendar. The automation workflows that today run on paralegal time (merge-field a template, email the client, update the matter record, notify the attorney) collapse into Flow runs. The firm hours per matter drop.

Strkr is

HIPAA-compliant for the matter-adjacent PHI.

Firms handling PI, medical malpractice, or healthcare transactional work encounter protected health information. Strkr is HIPAA compliant with a BAA available on the Pro tier and above. The matter record carries the PHI in-scope; firm admins configure access controls per matter and per role.

Strkr is

Priced per seat, not per matter.

Strkr pricing is per seat (attorney, paralegal, intake coordinator, firm admin). The common four-attorney firm with two paralegals and an intake coordinator fits the base tier. The automation value grows per matter without per-matter licensing. Compare against per-matter pricing models from vertical competitors.

Law firm automation that sits around your billing system without replacing it.

Strkr Flows and the CRM surface ship with the firm-tuned custom field packs and matter templates. Keep Clio for billing; run intake, matter lifecycle, and automation on Strkr with the native integration keeping data in sync.

Common questions

What buyers ask about this feature.

Does Strkr replace Clio or MyCase?

No. Strkr handles the automation and matter-management layer; the billing system remains the system of record for timekeeping, invoicing, trust accounting, and three-way reconciliation. The native integration writes matter records from Strkr to the billing system on open and keeps the two in sync. Firms running on Clio, MyCase, PracticePanther, or Smokeball keep them and add Strkr for the workflow around the billing. The combined cost is typically less than switching to an all-in-one that is weaker at either side.

How does the conflict check actually work?

A Flow runs on intake creation: client-name search against the full client and matter database, adverse-party search against open matters, prior-representation search for the client against historical matters, and referral-source search for the referring party. Match results surface in the matter record with the overlapping party highlighted. A clean check moves the matter forward automatically; a hit triggers an attorney review before the engagement letter sends. The check runs in seconds against the firm database.

Can we use our existing matter numbering convention?

Yes. Matter numbers are a configurable sequence per practice area or firm-wide. The common conventions (YY-NNNN, LastName-YY-NNNN, PracticeArea-YYYY-NNNN) all configure from the admin surface. The matter number writes to the billing system on open so the two systems share the identifier. Firms migrating from an existing system import the historical matters with their original numbers preserved.

Is the system HIPAA compliant for PI and medical cases?

Yes. Strkr is HIPAA compliant with a BAA available on the Pro tier and above. The matter record carries protected health information in-scope; firm admins configure access controls per matter and per role to limit which paralegals or attorneys see sensitive medical details. Audit trail captures every access to PHI fields. Firms handling PI, medical malpractice, or healthcare transactional work operate under the standard BAA; SOC 2 Type II is in progress with completion targeted for Q4.

How do deadlines and the statute-of-limitations clock get tracked?

Matter records carry deadline fields: statute of limitations, response-filing deadline, trial date, discovery close, mediation date. Flows surfaces upcoming deadlines on each attorney's Home tab in a week-ahead view and triggers reminder emails at configurable thresholds (14 days, 7 days, 3 days, day-of). The deadlines write to the attorney calendar through the Google or Microsoft 365 integration. Deadlines missed because a date fell off a calendar become rare; the firm has a defensible record of the reminder chain in audit.

What is the typical implementation timeline for a mid-size firm?

A firm with four to twelve attorneys typically implements in six to ten weeks. Week one: data model and practice-area selection. Weeks two to three: intake forms and the matter templates per practice area. Weeks four to five: Flows for the common automations (conflict check, matter open, stage transitions, deadline reminders). Weeks six to seven: billing system integration and historical data import. Weeks eight to ten: pilot with one practice area, refine, expand firm-wide. The implementation runs with firm staff plus a Strkr onboarding resource; no third-party consulting required.
