Feature · Process Workflow Tools

Process workflow tools that cover the whole motion in one surface.

Process workflow tools are a broad category: triggers, approvals, routing, forms, document generation, and reporting are each their own tool in many stacks. Strkr brings the full set into one surface so a workflow does not need six vendors to run end to end.

The tool categories

What falls under process workflow tools in 2026.

The sections below map the common categories of process workflow tools a mid-market team ends up with when they build the stack from scratch. Each category is a real tool class with real vendors; Strkr covers the function natively.

Trigger tools

Event detection on records and inboxes.

Trigger tools detect the moment something changes: a new deal, a stage change, a form submission, an email reply. Strkr's event bus is the single source of truth for triggers. 100-plus typed triggers ship out of the box; webhook triggers cover anything not pre-built.

Approval tools

Multi-step sign-off on records.

Approval tools route a record for sign-off: a discount request, a proposal above threshold, a hire approval. Strkr's approval action supports multi-step with branching, parallel approvers, and timeout escalation. The approvals land inline on the triggering record.

Routing tools

Round-robin, territory, skill-based.

Routing tools assign work to the right owner: new leads to AEs, support tickets to teams, projects to delivery leads. Strkr's routing action supports round-robin, weighted, territory, and skill-based assignment. The assignment history is captured on the record.

Form tools

Capture structured input from internal + external users.

Form tools capture input: a lead from a public page, a service request from a customer portal, a hiring request from an internal team. Strkr Forms produce typed submissions that trigger flows and write records. The form response is the first step of the workflow.

Document generation

Templated PDFs, proposals, agreements.

Document tools generate PDFs, Word, or shareable links from a template merged with record data. Strkr's document generation action produces proposals, quotes, agreements, and reports in-flow with permission-scoped output. The document attaches to the triggering record.

Reporting + analytics

Dashboards and scheduled reports on workflow performance.

Reporting tools answer "how is this workflow performing?" Volume, latency, bottleneck stages, approval drop-off. Strkr's native reporting ships flow-performance dashboards and scheduled PDF snapshots on the same tier as the flow runtime.

How the full set composes

A real workflow uses most of the categories.

A real workflow does not use one of the above categories; it uses most of them. The sections below walk a concrete example (sales discount approval) that touches six categories and shows how Strkr composes them into one flow.

Trigger

A deal is flagged for discount approval.

The flow triggers when a rep submits a discount request on a deal (either by setting a flag or submitting an in-record form). The trigger carries the deal, the requested discount, the reason, and the rep. The flow runs with the rep's permission scope.

Form

The rep fills a structured discount form.

The in-record form captures the required justification: competitor, strategic value, size of deal, deal history. The form is typed, so the subsequent approval step can route based on the discount size. The form submission is the trigger event.

Routing

Discount size picks the approver chain.

A routing action reads the discount size and picks the approver chain. Under 10 percent routes to the rep's manager. 10-25 percent routes to the manager + director. Over 25 percent routes to manager + director + CFO. The chain is a single configuration, not a tangle of rules.

Approval

Each approver signs off in order or in parallel.

The approval step surfaces the request to each approver with the deal, the discount, and the justification. The approver clicks Approve or Reject with an optional note. Timeout escalation reroutes to a delegate after 24 hours of inactivity.

Document

Approval writes an updated proposal PDF.

On full approval, the flow generates an updated proposal PDF with the approved discount applied. The PDF attaches to the deal and is sent to the rep for client delivery. On rejection, the flow writes a note and leaves the proposal unchanged.

Reporting

Monthly discount roll-up to finance.

A separate scheduled report rolls up approved discounts by region, segment, product, and approver. The CFO reads the discount leakage by segment and the leadership team adjusts the approval thresholds. The reporting is the loop that keeps the policy honest.

The lifecycle

How workflows evolve from draft to retired.

A workflow is not static. The sections below describe the lifecycle Strkr supports: draft, staging, production, versioned retirement. The lifecycle is what prevents a workflow from becoming a legacy mystery nobody can touch.

Draft

A workflow in build mode.

A new flow starts in draft. The author adds triggers, actions, and conditions. The draft does not fire on real records. The author can run test executions with sample inputs to verify the logic before promoting.

Staging

A flow runs on real triggers in isolation.

Staging mode fires the flow on real triggers but routes side-effect actions (email, Slack, webhook) to a test lane. The author verifies the real-trigger behavior without blasting real users. The staging mode replaces the "fingers crossed" first-release experience.

Production

The flow runs on real triggers with real side effects.

Promotion to production enables real side effects. The flow runs in the live tenant with the configured permission scope. Every execution is logged. A production flow can be paused by any admin, which halts future triggers without deleting the configuration.

Versioning

Every edit creates a new version.

When a production flow is edited, Strkr creates a new version. The admin can diff versions, roll back to a prior version, or ship the new version. The current version is marked and the history is browsable. The versioning prevents the "someone edited the flow and now it is broken" postmortem.

Retirement

A workflow retires without data loss.

When a workflow is retired, it is marked inactive. The historical execution log remains. New triggers do not fire. If a replacement workflow needs the old's history, the audit log is still queryable. The retirement is reversible: an inactive workflow can be reactivated by an admin.

Ownership

Every flow has a responsible owner.

Each workflow records an owner (and optional co-owners). The owner is notified of execution failures, is responsible for maintenance, and is the point of contact for the admin review. Ownership prevents the "orphaned workflow" that nobody can touch after the original author left.

The pricing posture

The whole tool set in the paid tier.

The sections below describe how Strkr prices the workflow tool set versus the common stacks a mid-market team pieces together.

Stack of six vendors

The common build is expensive and brittle.

A team building the workflow stack from vendors typically ends up with Zapier + DocuSign (or PandaDoc) + Typeform + Looker + a routing tool + a CRM-side approval module. Six subscriptions, six per-user prices, six integration passes. Strkr's one workspace replaces the integration pass and the compounding seat cost.

Platform suite tier

All-in-one, costs enterprise.

Workato, Tray, and Pipefy ship credible process-platform suites with the whole tool set. The cost is a platform SKU priced for enterprise. Strkr's process surface is on the paid base tier at seat pricing, which is a different economics class for mid-market teams.

Salesforce Flow + Approvals

Deep inside Salesforce, limited outside.

Salesforce ships flows, approvals, and dynamic forms inside the Salesforce boundary. The capability is deep. The limits are the Salesforce boundary itself: cross-system automations still need a separate tool. Strkr covers CRM, Marketing, and Projects in the same workspace, so cross-domain flows do not cross tool boundaries.

HubSpot workflows

Clean, metered on contact count.

HubSpot bundles workflows, forms, and reporting on the Sales / Marketing Hub tiers. The pricing meters marketing contact count. Strkr's per-seat pricing with no contact meter is friendlier at scale for teams growing their list.

DIY stack

Flexible, pays an on-call indefinitely.

A home-built workflow stack on top of a Pub/Sub bus is viable with engineering support. The cost is the on-call shift and the maintenance cycle. Strkr's managed runtime removes the on-call for record-centric workflows and frees engineering to work on differentiated code.

Strkr

Full tool set, flat seat price.

Triggers, approvals, routing, forms, document generation, and reporting are all in the paid base tier. No per-execution meter, no contact meter, no document-generation SKU. The seat price listed on the pricing page is the full price for the capability.

Common questions

What buyers ask about this feature.

What are process workflow tools?

Process workflow tools are the pieces that compose into an end-to-end workflow: triggers that detect record changes, approvals that route sign-off, routing that assigns work, forms that capture structured input, document generation that produces PDFs from templates, and reporting that measures workflow performance. In many stacks each piece is a separate vendor. Strkr covers the full set natively in the paid base tier so a workflow does not need six vendors to run end to end.

Does Strkr support multi-step approvals?

Yes. The approval action supports multi-step, parallel approvers, and timeout escalation. A discount request can route to a manager, then a director, then the CFO depending on the discount size. If an approver does not respond within a configured window, the request routes to a delegate. The approval history lands on the triggering record, so a quarterly audit reads the real sequence.

How does Strkr's form tool fit the workflow?

Strkr Forms produce typed submissions that trigger flows and write records. A form submission is the first step of the workflow. The form fields map to record fields, so the submission writes the record directly. Internal forms (hiring request, discount justification) and external forms (lead capture, customer portal) share the same tool. The form response triggers the matching flow immediately.

Can I version and roll back workflows?

Yes. Every edit to a production workflow creates a new version. The admin can diff versions, roll back to a prior version, or ship the new version. The current version is marked. The history is browsable. A workflow can be retired (inactive) or reactivated by an admin. The versioning prevents the common failure of "someone edited the flow and now it is broken".

Does Strkr generate documents in a workflow?

Yes. The document generation action produces PDFs, Word docs, or shareable links from a template merged with record data. The output attaches to the triggering record and can be sent as an attachment or a secure link. The action is permission-scoped so a generated document does not expose fields the recipient could not otherwise see. Document generation is included on the paid base tier.

How is this different from Workato or Tray?

Workato and Tray are credible mid-market automation platforms with deep capability priced as a platform SKU. For automations that live within the Strkr record scope, Strkr's native flows retire the platform build at seat pricing. For cross-tool automations outside the Strkr record scope, platforms still have a role. Teams running Strkr for CRM, Marketing, and Projects find the native flow coverage spans most of their actual workflows.
